How to use our next-generation reports

While different reports host different information, there’s common features like filters, sorting, export options, and more. This article provides an overview on how to use these features. If you have any questions, please feel free to reach out to us.


Filters
Every report will have an array of filter options you can use to narrow down the data that’s relevant for you.


Active filters
If a filter is applied, it will be indicated by the filter box being colored blue. You might notice that some reports have certain filters pre-applied by default. This is to assist you in getting relevant information more quickly and not displaying an unnecessary amount of data. If you wish, you can change these filters to a different setting or remove them of course.


Applying filters (reloading data)
Whenever you make changes to filters, you need to apply these changes by clicking the reload button. After changing filters, the reload button (top-right) will be colored blue to indicate that you have to reload in order to see the filtered data.


Filter options
Depending on the type of filter, you’ll see different options you can apply to a filter.

Date filter
For a date filter, you have to specify an operator first. For example, if you want a relative timeframe looking backwards for a certain time from today, you’d select “In the the last...”. If you want to look at a specific time frame between two dates, you’d select “Is in range”.


> After choosing an operator, you can input the required values relevant for your filter selection.
Depending on the operator you’ve chosen, you might see additional options to select a unit. For example, if you select “Is in the last...”, you can choose whether you want to refer to days, weeks, months, and so on.


Number filter
For a number filter, you have to specify an operator to compare your input with. For example, you can choose “Is” to filter for a specific number to match (equality). Or you could choose “Is >=” to filter for a number being greater than or equal to your input. If you choose “Is between”, you can specify a range your number must fall into.


Selection list (options)
In a selection filter, you have predefined options to choose from. You can choose one or multiple options. If there’s many options, you will be presented with a search field to find specific options faster. Simply start typing to see matching options. If you want to see the full list of options you can choose from, just click into the search field and a dropdown list will appear.

> You can also remove the filter entirely by de-selecting all options currently applied. A deactivated filter will be indicated by showing “is any value”. This can be helpful if you don’t see any results in the data table or you want to see all data available.




Reset filters
If you want to restore the default filter settings of the report, you can open the options menu (three vertical dots, top-right) and click “Reset filters”. Alternatively, you can just reload the page, any settings will be restored to their default.


Download the entire report
If you want to download the entire report, you can open the options menu (three vertical dots, top-right) and click “Download”. 


> Next, you can choose if you want to download the report as a PDF or CSV file.

Important: We strongly recommend using the download option on the data table itself (see section “Data tables” > “Table options”). You will have more export options and you can choose additional file formats like Excel.




Data tables
A report will contain one or multiple data tables. Any filters you’re applying will change the data in the table(s).


Table options (download, column auto-sizing)
Move your mouse cursor over the top-right corner of the table and click the menu icon (three vertical dots) appearing.




Download
You can download the table’s content by clicking “Download data”.


Select the file format: Choose the format you’d like to download. Available formats are Text (tab), Excel, CSV, JSON, HTML, Markdown, and Image (PNG). Then click “Download” to download the file to your computer or click “Open in browser” to preview the file in your browser.


Advanced options: Click on “Advanced data options” to see additional download options.


The table might be limited to only display a certain number of rows. If you want to see all results, check the “All results” option.


Column auto-sizing
See more details: If you want to size all columns to automatically fit their content, click “Autosize all columns”. If the table gets too wide, a scroll bar will appear.


Better overview: If you want a more compact view, you can make all columns the same size by clicking “Reset all column widths”.


Columns
There are various options for how you can rearrange and use the data in a table.

Sorting columns
If you want to sort the table by the values in a specific column, click on the column title. An arrow will appear next to the column title to indicate the sorting direction (ascending/descending). Click on the column title again to switch between sorting directions. If you want to sort by multiple columns, do the first sort, then press and hold the “shift” key on your keyboard, and then sort by the next column.


Column options (freeze, copy values, autsize/reset column widths)
To open the column options, hover over the column title. Click on the menu icon (three vertical dots) appearing.



Freeze: If you click “Freeze”, the column will be placed as the first column in the table.

Copy values: If you click “Copy values”, you’re copying all values of the column into your computer’s clipboard/cache (think CTRL+C). The column will flash to indicate the copy was successful. This can be useful if you want to paste all values of a single column into a spreadsheet or text file (think CTRL+V).
If you only want to copy a single value in the column, see section “Copy a single value” further below.

Column auto-sizing
See more details: If you want to size all columns to automatically fit their content, click “Autosize all columns”.
Better overview: If you want a more compact view, you can make all columns the same size by clicking “Reset all column widths”.

Ordering columns
If you want to rearrange the order of columns, left click, hold, and then drag the column title to the desired position.


Resizing columns (manually)
If you want to change the width of a single column, left-click, hold, and then drag the column divider (border) right to the column title.


Show full value
If a column is not wide enough, a value might be shortened. In order to see the full value, you can either double-click on the value - which will expand it - or you can resize the column (see “Column options” or “Resizing columns”).


Copy a single value
Double-click on the value to expand it, after which you can select and then copy&paste it.
